Managing Data in All Organizations: Reports and Report Templates

The Reporting screen displays all saved reports and report templates in your home Organization only.

Reports

When working with a report you or another user in your home Organization created, you may add the following to the report:

If a user in your home Organization opens a report that contains data from another Organization, those data will not be displayed in the report. Specifically, the following changes will be reflected in the report when the user is viewing it:

  • Group Data sections with data from a Group in another Organization will not be displayed.
  • Chart and Table sections that display data from another Organization will display no data.
  • Graph sections with saved graphs from another Organization will be displayed as placeholder blocks in the report, and a message stating “One or more graphs in this report have been deleted.” will be displayed at the top of the Report Editor.

Additionally, if a report contains data from a Case in another Organization, users in your home Organization will not be able to open the report.

As such, it is recommended that you identify which reports contain data from Organizations outside of your home Organization in the report's description so that other users in your home Organization do not attempt to open those reports.

Report Templates

You can create a report for a Group in any Organization from a saved report template you or another user in your home Organization created. In addition, when working with a report template in your home Organization, you may add the following to the template:

  • Graph sections configured as content blocks with saved graphs from any Organization
  • Chart sections configured as content blocks that display data from any Organization
  • Table sections configured as content blocks that display data from any Organization

If a user in your home Organization opens a report template that contains data from another Organization, those data will not be displayed in the template. Specifically, the following changes will be reflected in the template when the user is viewing it:

  • Chart and Table sections that display data from another Organization will display no data.
  • Graph sections with saved graphs from another Organization will be displayed as placeholder blocks in the report, and a message stating “One or more graphs in this report have been deleted.” will be displayed at the top of the Template Editor.

These changes will also be reflected in reports users in your home Organization create from report templates that contain data from another Organization. As such, it is recommended that you identify which report templates contain data from Organizations outside of your home Organization in the template’s description so that other users in your home Organization do not attempt to open, or create reports from, those templates.
